Purpose: This guide helps ESM Consumer Role™ users approve, adjust, or reject a requisition after completing their review, and view Ad Hoc Review transactions sent for informational awareness.
Before you begin:
1) You are logged into ESM Purchase™ ESM Consumer Role™ (see How to Log Into ESM).
2) You have reviewed the transaction (see Reviewing a Purchase Request).
3) You have confirmed budget availability.
Approving a Transaction

1. If needed, add or edit notes or attachments before approving.
2. From the Request Details view, select Approve.
3. Confirm the approval. The transaction advances to the next step in the workflow.
Once all required approvals are obtained, a purchase order is created in Banner.
Adjusting a Transaction During Approval
If part of the request is authorized but a portion needs correcting, adjust it before approving.
1. In the Request Details view, locate the line item to adjust.
2. Edit the field, if available.
3. Confirm the updated total and budget impact are acceptable.
4. If needed, add or edit notes or attachments to document the adjustment.
5. Select Approve to advance the transaction with the updated quantity.
| CAUTION Watch out for: Not all fields are editable during the approval process. If the required change is not editable, the request must be rejected back to the originating user. |
Rejecting a Transaction
1. If needed, add or edit notes or attachments before rejecting.
2. From the Request Details view, select Reject.
3. Enter a specific rejection reason in the Comments field. Be specific — the requester sees this message and needs to know exactly what to correct.
4. Select Confirm Rejection.
The requester is notified by email and can revise and resubmit the requisition.
Ad Hoc Review
1. If needed, add or edit notes or attachments.
2. From the Request Details view, select Ad Hoc Review.
3. Select the approver that the order will be sent to and hit Continue.
| Note: Ad Hoc Review is informational only — it is not a step in the approval workflow. The approver does not need to approve, reject, or otherwise act on it. |
