Submitting and Tracking a Request

Purpose: This guide helps ESM Consumer Role™ users submit a completed requisition and monitor its progress through the approval workflow.

Before you begin:

1) You are logged into ESM Purchase™ ESM Consumer Role™.

2) A requisition has been completed via Quick Buy, Quote Drop, or Store checkout.

3) A valid GL Acct Code has been entered, and budget impact has been reviewed.

Steps — Submitting Your Request

1. Before selecting Submit, confirm all fields in the checklist below:

Ship To LocationConfirm your delivery address or select a different one.
Bill To LocationConfirm your billing address or select a different one.
GL Acct CodeEnter the GL Acct Code to charge. Budget impact updates in real time.
Fiscal Date / Need-By DateConfirm or adjust the dates.
QuantityAdjust as needed. Total and budget impact update automatically.

2. Select Submit to route the requisition through the approval workflow.

CAUTION Watch out for: You cannot edit a requisition after it has been submitted. If changes are needed, contact your approver to reject it back to you for revision.

1. From the landing page, select the Recent Transactions service card.

2. Select any transaction from the list to open its detail view.

The detail view shows:

• Header info — requester, supplier, Ship To / Bill To, total value

• Line items — descriptions, quantities, and unit prices

• Account codes and budget impact

• Internal notes

• Transaction history

• Approval workflow status — where your requisition is in the approval chain

NOTE ✓ You're done when: Your requisition appears in Recent Transactions with a Submitted or Pending Approval status, and you can view its position in the approval workflow.
