Creating a Purchase Request (Quick Buy)

Purpose: This guide helps ESM Consumer Role™ users re-order recently or frequently purchased items using Quick Buy.

Before you begin:

1) You are logged into ESM Purchase™ ESM Consumer Role™.

2) Items to re-order are available in the Quick Buy carousel (My Recent Items, My Frequent Items, Frequent Items, or My Favorites).

3) You know the GL Acct Code to charge.

Steps — Creating a Quick Buy Request

1. From the landing page, select the Quick Buy carousel at the top of the screen.

2. Select the tab for the items you want: My Recent Items, My Frequent Items, Frequent Items, or My Favorites.

3. Locate your item and select Buy.

4. On the item details screen, confirm or update the following fields:

Ship To LocationConfirm your delivery address or select a different one.
Bill To LocationConfirm your billing address or select a different one.
GL Acct CodeEnter the GL Acct Code to charge. Budget impact updates in real time.
Fiscal Date / Need-By DateConfirm or adjust the dates.
QuantityAdjust as needed. Total and budget impact update automatically.

5. If splitting costs across multiple budget lines, select multiple Account Codes and assign a percentage. All splits must total 100%.

6. Review the real-time budget impact displayed below the Account Code field.

7. Select Submit to route the requisition through the approval workflow.

CAUTION Watch out for: A budget overspend warning appears if the account code has insufficient funds. Depending on [Institution]'s configuration, the transaction may be blocked or re-routed for additional approval. Contact the Finance office with questions.
NOTE ✓ You're done when: Your requisition appears in the Recent Transactions card with a Submitted or Pending Approval status.
